Cold chain logistics

Manage cold chain logistics with AI

AI reads the temperature logs and data-logger reports, keeps each batch's readings current, checks each reading against spec, then flags batches nearing expiry. Built for the cold chain, live in days.

AI enters the batch data

AI reads the packing list and the logger report the driver hands over, and opens the cold shipment with each batch, its expiry and the loading temperature already filled in.

AI checks every reading against spec

AI compares the arriving readings with that commodity's own temperature spec and storage class. A load above spec surfaces before the goods are put away.

AI drafts the delivery documents

AI drafts the deviation record, the handover record and the debit note on your own templates. Your team reviews every one before it is sent.

Every cold shipment in one view

The system shows which loads are held for inspection, which batches are near their expiry, and which reefers are on the road.

One record from inbound to delivery

At each stage the system holds the goods and the temperature, the AI writes up the logs and the paperwork, and what comes next starts on its own.

  1. 01

    Booking & pre-cool

AI reads the service booking and opens a cold shipment with the customer, commodity, quantity, set point, and pickup date filled in. A cold room or reefer is assigned, and a pre-cool and pre-trip inspection are scheduled before the goods are loaded.

  2. 02

    Inbound & inspection

From the packing list and the inbound check, AI records each batch with its expiry, quantity, and condition, notes the arrival temperature, and drafts the goods receipt note. An arrival temperature above the set point holds the goods for inspection before they are put away by zone.

  3. 03

    Storage & monitoring

Each temperature-log round is recorded against the shipment by storage zone and batch position, and AI marks any reading outside that commodity's temperature spec. A reading out of range or a batch nearing its expiry raises an alert to the warehouse team.

  4. 04

    Pick & load

Batches are picked first-expiry-first-out, with the load quantity and loading temperature recorded against the assigned vehicle, and AI drafts the goods issue note. A reefer not yet at its set point must pre-cool before the load is released.

  5. 05

    Reefer transport

Once the trip ends, AI reads the data logger report and records its temperature trace against the shipment, along with the set point held, the route, and the estimated arrival. Any temperature excursion on the way is flagged for review before delivery.

  6. 06

    Delivery & sign-off

AI drafts the handover record with the delivery temperature, the quantity accepted, and any rejection, then the temperature report and the debit note once charges are in, each held for your team's approval before it goes out. A signed handover closes the shipment and files its temperature report for the customer.

Warehouse and transport each on their own app

The warehouse floor, the transport team, quality control, and managers each get their own app, all reading and writing one set of cold shipments.

Warehouse desk

Warehouse sees today's inbound and outbound loads to receive, put away by zone, and pick by expiry.

Temperature monitor

Quality control watches every cold room and load by temperature status, with anything out of range surfacing at once.

Dispatch board

Transport sees reefer runs on a calendar with pickup and delivery windows and the assigned driver.

Manager dashboard

Managers see storage occupancy, on-time delivery, excursions this month, and margin per customer.

The cold chain looks after itself

Stages advance as goods move, out-of-range readings get noticed, and off-spec releases wait for sign-off.

The shipment moves itself along

As goods are received, loaded, and delivered, the cold shipment moves to the next stage on its own.

Temperature slips get noticed

A logged reading outside the allowed range flags the batch and alerts quality control.

Expiry dates surface early

Batches nearing their expiry surface for pick and rotation before they age out.

Off-spec goods need sign-off

Releasing a batch after a temperature excursion waits on a quality manager's approval.

The temperature report is ready on delivery

On delivery, the trip's temperature trace is compiled into the customer's report from the same data.

The system works with the AI you already use

Claude, ChatGPT or a coding assistant can read and update the data in it, within each person's own access.

Live in days

We start with one process you do by hand today. Once that one is done, we take the next.

  1. 01.

We learn how you work today

We go through your documents, your rates and the way the team handles them. It takes very little of your time.

  2. 02.

We build it and train the team

The system follows how you already work. Your team is doing real work in it within the first week.

  3. 03.

    We keep improving it

When the process changes or you want something new, you tell us and we do it. The system keeps pace with you instead of going stale.

Frequently asked questions

Typically 1-2 weeks. Week 1: build the cold shipment tables, the temperature-log structure, the document templates, and import existing data. Week 2: train warehouse and transport staff on real loads. Setup is included in the plan.

Time with your warehouse and transport leads during the audit, the document templates and temperature specs you use today, and someone to review as we build. We handle the rest.

Your team, on screens built for each role. We stay on to tune the setup, add documents, and build new automations as your commodities and routes change. Setup and tuning are in the subscription.

No. The warehouse desk, temperature monitor, and dispatch board all read and write the same cold shipments — one source of truth, many purpose-built apps onto it. The scattered spreadsheets and chat threads you have now are exactly what that removes, not adds to.

The AI reads the temperature logs and data-logger reports each trip already produces and records the readings against the shipment. If you want your loggers or cold-room sensors connected directly, we build that integration as part of the service.

Every reading is recorded against the shipment, so the temperature report is drafted from the same data at delivery. The customer gets a report that matches the log, not a separate spreadsheet.

The batch is flagged and held, quality control is alerted, and releasing it waits on a manager's approval. The whole excursion, from reading to decision, stays on the shipment.

Yes. Each batch is recorded with its expiry, picking suggests the first-to-expire lot, and batches nearing expiry surface before they age out.

Yes. Each commodity carries its own temperature spec and storage zone, and the AI checks each reading against the right range for that batch.

We set up a report template per customer, and the shipment's readings fill it in the format each one expects.

Create an issue linked to the shipment. Record the reason, the temperature at the time, photos, and the resolution, with full history for the claim.

Yes. Storage, handling, transport, and plug-in charges compile onto the debit note, which syncs to your accounting software. Charges are entered once.

Yes. Lotics supports spreadsheet import. Our team handles data conversion and import while we build the system.

Yes. Role-based permissions control who can view, edit, or approve specific records. Each person sees only what is relevant to their role.

Yes. Every change is logged with who made it, what changed, and when. Full history on any record for audits, disputes, or internal review.
