--- title: "Send a record for sign-off | Let a client approve or sign one record, with no account" description: "Send one record from an app to a person who has no Lotics account — a buyer approving a proof, a client signing a handover. The link opens that record only, expires, and closes on their answer." --- # Send a record for sign-off Some answers come from people outside your team: a buyer approving a proof, a client signing a handover, a supplier confirming a delivery. They have no Lotics account and should not need one. An app that is set up for it lets you send them **one record**, by a link. ## Sending a link Open the record in the app. While it is at a step the app opens to outside people, its panel offers **Create link**. 1. Press **Create link**. 2. Say who it is for, and how long it stays open: 1, 3, 7, 14 or 30 days (7 by default). 3. Copy the address, or share it from your phone, and send it yourself by email, Zalo or message. The address is shown once, when you create it. Lotics does not keep it in a form anyone can read back, so a lost address is replaced by creating another link. A new link for the same record replaces the one standing. The panel then shows who the link is for, until when it is open, and whether it has been opened. The record's activity lists the link as sent, opened, withdrawn or answered. ## What the person sees One page, with the details of that record that the app chose to show, any lists of lines under it, and the buttons they may press, such as **Approve**, **Request changes** or **Sign**. Some buttons ask for a short note, a date or a typed name first. They see nothing else: not your other records, the app, comments, history or your team. They cannot ask for more, pass the link to give more access, or reach anything the link was not made for. ## When a link stops working A link closes when any of these happens: - the person presses one of its buttons, which records their answer; - it reaches its expiry; - you or a colleague who can open the record withdraws it with **Revoke**; - the record moves to a step the link was not made for, by anyone; - you create a newer link for the same record; - the record is deleted, or the app changes owner. The person who opens a closed link is told why in a sentence and sees none of the record. Their answer is recorded on the record as made through the link, naming who it was for and who sent it. ## Frequently asked questions ### Does the person need an account? No. The link is the only thing they need. Keep it as private as you would any document you email, since anyone who holds it can answer until it closes. ### Can the person answer twice? No. Each button ends the visit, so the answer is recorded once and the link closes. ### Who can send a link? A member of your organization who can open the record, in an app that offers it. An API key, a script or an AI agent cannot create one. ### Is this the same as sharing an app publicly? No. Sharing an app with anyone who has the link opens everything the app declares and is an admin's decision. A link to one record opens that record alone and expires.
